Use a four-part workplace update

A useful update helps the recipient understand what happened and what should occur next without searching for missing details. State the current status, explain the effect on the work, identify the action already taken or requested, and provide the next expected update time.

  • Lead with the most important confirmed fact.
  • State deadlines and ownership clearly.
  • Use neutral language and avoid blame.
  • Send the update early enough for someone to respond.

Match the message to the channel

Routine information may be appropriate for an approved email or work platform. Urgent safety, privacy, service, or deadline risks may require an immediate call or escalation followed by written documentation. Personal accounts and unapproved messaging tools should not be used for protected or confidential information.
